File Transfer Procedures and Acceptable File Formats

Any files given to us for use in creating your site should be in a digital format in the best quality available and in a reasonable resolution. Photo scanning is available if you don't have digital images, though there may be additional charges if it's more than just one or two photos, in addition to additional time needed for the project.

Please be sure you have full legal rights to use the photos, music or video files, and/or written material. By the act of providing materials to be used on your website, you certify said materials and files are not copyrighted by a third party, and you are not representing someone else's work as your own.

Graphics, Images and Photographs
"Finished" images should be in either .jpg (sometimes called .jpeg), .gif, .tif or .png format. .PNGs are preferred, since they are most easily resized. Original "working" graphic documents should be in .psd (PhotoShop or Illustrator) format. If you've been working with a graphic designer, they will know what these file formats are.

Audio and Video
Audio files should be in .mp3 format, video works best on the web in HMTL5 (.mp4 or .webM) format. If your files are in a different format from those listed, or if your studio didn't optimize them (reduce the file size for inclusion on a website), this should be brought up at the start of the project. These file formats represent the most widely used which will make your music or video available to the widest possible audience.

We can do file format conversion and optimization, but the process is time consuming and will be done at an additional charge.

Text / Copy
The best format to supply your website's copy would be plain text, .txt. Plain text is the fastest to work from, as it allows for direct copy-n-paste, without any of the extra nonsensical and sometimes invisible characters word processors such as Microsoft Word add. For maintenance clients, being able to do a direct copy-n-paste rather than retyping the copy saves me time and you money. A plain text file is also a "universal" format, in that all operating systems have software to open and read a .txt file.

The next choices would be .pdf. If you have any other file formats in mind, please ask first.

Transferring Your Files To Us
The following options are available for getting the files to us that we need to create or update your website. Your choice will depend on the size of the files to be transferred, and/or which method you feel more comfortable with.

DropBox
This is the preferred method. Once we start working together you can either email files (via a special email address that sends them to our DropBox account) or we'll create and share a secure DropBox folder with you.

Email As An Attachment
Files Up To 7GB: Files (images, graphics, photos, documents) up to 7GB can be emailed (ask for the email address).

Larger than 7GB: Though Gmail will accept attachments of up to 25GB, the standard size limitation for all other mail servers is 7GB (which is massive...the average DVD is 7GB). If you're using any other email service besides Gmail and need to send a file larger than 7GB, you have two options.
